Important Information #

Church-sponsored events and activities should receive approval from the appropriate ministry leader and, when applicable, the General Board.

Event planning should account for the purpose and location of the activity, expected attendance, supervision, transportation, expenses, emergency preparedness, and any special risks associated with the event.

Activities involving children, youth, or vulnerable adults must provide appropriate adult supervision based on participants’ ages, the nature of the activity, the location, and the circumstances involved.

For off-campus, higher-risk, or overnight activities involving minors, written parental or guardian permission should be obtained, including relevant emergency contact and medical information.

Higher-risk activities require additional review and approval. These may include swimming, boating, overnight trips, sports activities, construction projects, activities involving tools or equipment, or travel outside the local area.

Ministry leaders should make reasonable first aid provisions, follow appropriate food safety practices, and document injuries, accidents, medical emergencies, misconduct, or unusual incidents using the church’s Incident Report.

Overnight events must comply with the Child, Youth, and Vulnerable Adult Protection Policy and all applicable transportation and supervision policies.

Outside speakers, groups, vendors, or organizations participating in church-sponsored events should receive General Board approval and may be subject to additional screening, insurance, or facility use requirements.

Events may be postponed, modified, or canceled when weather conditions or other safety concerns make proceeding unwise.

This policy is part of the church’s Policies & Best Practices Manual and is subject to the church’s Constitution and Bylaws.
